Privacy Policy

How we collect, use and protect personal information on our websites, in line with South Africa's Protection of Personal Information Act.

01Our commitment

We collect as little personal information as we can, use it only for the reasons set out here, protect it carefully and never sell or rent it to anyone.

02Who we are and what this policy covers

altokoda.com and the other websites on its subdomains are operated by Altokoda (Pty) Ltd ("Altokoda", "we", "us" or "our"), a private company registered in South Africa. For the personal information described here, we are the responsible party under the Protection of Personal Information Act 4 of 2013 (POPIA).

This policy applies to altokoda.com and to every Altokoda website on a subdomain of altokoda.com ("our websites"). If one of our websites has its own privacy notice, that notice applies to it instead. Some sections describe features, such as the contact and support forms, that only some of our websites have.

Our websites are not aimed at children under 18, and we do not knowingly collect their personal information. If you believe a child has sent us personal information, please contact us and we will delete it.

03Information we collect

When you contact us. Our contact and support forms ask for your name, email address, an optional company name and your message. We receive only what you choose to send.

When you visit our websites. Like any website, the servers that deliver our pages receive technical information with each request, such as your IP address, browser type, the page requested and the time of the request. This is needed to deliver our websites and keep them secure.

Analytics. We use Cloudflare Web Analytics to understand how our websites are used. It counts visits in aggregate (the page visited, the page you came from, and your country, browser, operating system and device type). It sets no cookies, does not use local storage and does not identify you or follow you across other websites.

Spam protection. Our contact and support forms use Cloudflare Turnstile, which checks that a form is being sent by a person. To do this, Cloudflare processes technical information about your browser and connection.

Cookies. Our websites set no cookies of their own and do not use local storage to track you. They load no advertising or tracking scripts.

04How we use information

We use personal information only to reply to you and deal with your request, to keep our websites and systems secure, to understand in aggregate how our websites are used so we can improve them, and to meet our legal obligations.

We process it because you asked us to (by sending a message), because it is necessary for our legitimate interest in running secure and useful websites, or because the law requires it. We do not use it for automated decisions about you.

We will not send you marketing messages unless you have asked for them or agreed to receive them, and you can opt out at any time.

05Aggregated information

We may combine information into totals and trends, such as the number of visits to a page, that do not identify anyone. Information in this form is not personal information and we may use it for any purpose.

06Who we share information with

We do not sell, rent or trade personal information. We share it only with:

Operators who process it on our behalf: Cloudflare, which hosts and protects our websites and provides the analytics and spam protection described above, and Zoho, which hosts the mailbox our form messages are delivered to. They may use it only to provide their service to us.

Authorities or other parties, when the law requires it, or when it is needed to protect the rights, property or safety of our clients, the public or us.

A successor, if all or part of our business is sold, merged or restructured. The personal information would remain protected by this policy or one at least as protective, and we would tell you of any change.

07Transfers outside South Africa

Cloudflare and Zoho operate internationally, so personal information may be processed outside South Africa. We use only providers that are bound by data protection laws, binding agreements or rules that give a level of protection substantially similar to POPIA, as section 72 of POPIA requires.

08Your rights

Under POPIA you have the right to ask whether we hold personal information about you and to see it, to ask us to correct, update or delete it, to object to its processing, and to withdraw any consent you have given.

To make a request, send it through our support form. We may need to confirm your identity first, and we will respond within a reasonable time. Requests for records may also be made under the Promotion of Access to Information Act 2 of 2000.

If you are not satisfied with how we handle your personal information, you can complain to the Information Regulator (South Africa) at www.inforegulator.org.za. We would appreciate the chance to resolve your concern first.

09How we protect information

We take appropriate, reasonable technical and organisational measures to keep personal information secure. Our websites are served only over encrypted HTTPS, form messages travel to our mailbox over encrypted connections, access to them is limited to the people who need it, and the passwords and keys our systems use are kept out of our websites' code.

No method of transmission or storage is completely secure. If we believe personal information has been accessed by someone not authorised to do so, we will notify the Information Regulator and the people affected, as POPIA requires.

10How long we keep information

We keep form messages only as long as we need them to deal with your request and keep a reasonable record of our correspondence, or as long as the law requires, and then delete them. Technical information and analytics are kept by Cloudflare according to its own retention periods.

Our Information Officer is responsible for how Altokoda handles personal information and can be reached through our support form.

We may update this policy as our websites or the law change. The current version is always published on this page with the date it was last updated, and we will make significant changes clear on our websites.
